Can I Access and Restore a Previous File Version?

All files saved to your OneDrive for Business or Teams/SharePoint save a Version History that you can access to restore or download a previous version, or to simply review a previous version of your work. 

You can use a file's Version History to:

  • Replace your current file with a previous version.
  • Copy/paste only selected sections from an earlier version.
  • Save a prior version to edit as its own copy.

How To Access Version History

A file's Version History can be accessed from your OneDrive for Business or Teams/SharePoint file list.  Version History can also be accessed from most Microsoft Office files when open.

Caution: If you edit a previous version opened from the Version History list, that version is restored and becomes the newest version.

Access Version History Within Office 365 Files

Version History for other file types must be accessed from your OneDrive or Teams/SharePoint file list.


The Office 365 file is open in the desktop app

  1. On the menu click File.
  2. At the left select Info.
  3. In the middle of the screen select Version History.
  4. Version History displays at the right.
  5. To view an older version: select a version from the Version History list. The selected version opens as another document.
  • To replace your current version: at the top of the copy opened from Version History, click Restore.
  • To save a copy of the older version as a new file: click File, then select Save As. Save the version with a new file name.
  • To close the old copy and return to your current version: Simply close the old version. Your current version is still open.


The Office 365 file is open in the web app

  1. On the menu click File.
  2. Select Version History.
  3. Version History displays at the right.
  4. To view an older version: select a version from the Version History list. 
  • To replace your current version: in the copy opened from Version History click Restore at the top.
  • To save a copy of the older version as a new file: at the top of the Version History copy click Save a Copy.
  • To close the old copy and return to your current version: At the top-left, select Back to document.

 

Version History for Other File Types Including Office 365 Files

Version History for most file types can be accessed from your OneDrive for Business or Teams/SharePoint file list. 

From Windows File Explorer or Mac Finder

From your UWSP OneDrive:

  1. Right-click a file name.
  2. Select OneDrive.
  3. Select Version history.
  4. To view an older version: select a version from the "Version saved for" list. 
  • To replace your current version: at the top of the copy opened from Version History, click Restore.
  • To save a copy of the older version as a new file: click File, then select Save As. Save the version with a new file name.
     

From Your Teams/SharePoint File List

  1. At the right of the file click the Ellipses, "...".
  2. Select Version History.
  3. To view an older version: select a version from the "Version saved for" list. 
  • To replace your current version: at the top of the copy opened from Version History, click Restore.
  • To save a copy of the older version as a new file: click File, then select Save As. Save the version with a new file name.
